Administration Officer
Location: Glasgow or Edinburgh (Hybrid working model)
Salary: £13.97
Contract: until 31st March 2025
The Role
ASA are looking for a proactive and highly organised Administration Officer to work alongside our public sector client to support their Business Services team.
As part of a dynamic team, you will coordinate meetings, manage diaries, process purchase orders, maintain records, and provide general administrative support. You will also be responsible for handling enquiries and supporting senior team members with various administrative tasks.
Key Responsibilities:
· Provide high-quality administrative support, including diary management, minute-taking, and handling correspondence.
· Manage inboxes and distribution lists, ensuring timely responses to internal and external queries.
· Use PECOS to raise and receipt purchase orders, ensuring financial processes align with organisation guidelines.
· Maintain electronic and manual filing systems in accordance with Data Protection and Records Management policies.
· Organise meetings, book venues, and coordinate travel arrangements as required.
· Support the development and maintenance of databases, ensuring data accuracy and producing reports when necessary.
· Assist with project administration, updating documentation, and implementing new procedures to enhance efficiency.
· Provide cover and resilience across different teams when required.
What We’re Looking For:
Essential:
· Educated to A/Higher Grade level.
· Proven experience in an administrative support role in a fast-paced environment.
· Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
· Strong interpersonal and communication skills, both written and verbal.
· Excellent attention to detail and ability to prioritise tasks effectively.
· Ability to work independently and as part of a team, showing initiative and adaptability.
Desirable:
· Knowledge of procurement and financial systems (e.g., PECOS).
