Key Responsibilities:
1. Oversee the day-to-day management of the Park Authority Road Transport Fleet, ensuring compliance with all legal and statutory requirements. This entails managing vehicle maintenance, servicing, record-keeping, booking systems, and vehicle allocations to staff. Additionally, provide guidance on related policies and processes to support efficient fleet management aligned with Park Authority objectives.
2. Act as the lead within the Facilities Team for the Estates Management System, ensuring adherence to established processes and maintaining system integrity. Provide support to team members on system usage, collaborate with the Estates Data Officer to enhance processes, and facilitate the implementation of system enhancements.
3. Share responsibility with fellow Facilities Officer for daily operations, including oversight of the Building Management System, waste management, and restroom facilities. Additionally, participate in the building opening/closing schedule.
4. Collaborate with the other Facilities Officer to manage property security arrangements for Park Authority buildings, encompassing access control and CCTV oversight.
5. Collaborate proactively with the Facilities and Maintenance Officers to ensure Park Authority buildings meet statutory compliance requirements. This includes fulfilling competent person responsibilities and executing planned maintenance tasks.
6. Support the Maintenance Officer in conducting minor building repairs and oversee maintenance contractors for specialized repairs as needed.
7. Manage all administrative processes associated with Facilities responsibilities using digital tools such as the Estates Management System and Finance System. Provide assistance to team members in administering Facilities processes to maintain consistent service delivery standards.
8. Participate in an on-call rotation to deliver after-hours services, requiring onsite presence to assess and provide instructions for situations as they arise. Access to a fleet vehicle will be provided for these duties.
9. Offer ad-hoc coverage for Park Authority Store services as necessary, particularly during staff absences.
10. Undertake any additional duties commensurate with the role’s grade, including cross-functional and inter-team collaboration as needed.
Essential Criteria (Experience)
· Experience of fleet vehicle management.
· Experience and understanding of Facilities Management/management of buildings.
· Experience of assisting with the development of policies and processes to improve Facilities management services.
· Experience of working in a multi-faceted workplace driven environment.
· Experience of handling complaints.
· Experience of digital maintenance systems.
Specific Skills, Abilities and Qualities:
· Strong customer focus.
· Computer literate.
· Numerate and good written and oral communication skills.
· Comfortable working in a fast-paced reactive environment with the ability to confidently adapt to changing priorities.
· Ability to organise and prioritise own workload.
· Ability to build relationships internally and with 3rd party suppliers.
· Knowledge of Health & Safety and environmental requirements in relation to the role.
· Full UK driving licence or access to a driver if disability prevents driving.
· Flexible approach to working hours as rota shifts are required. Some evening and weekend working may also be required.
