Are you an experienced Clerical Assistant/Receptionist looking for a new career?
ASA Recruitment is working to source an experienced and highly capable Clerical Assistant/Receptionist. This role is suitable for candidates based in or around Kirkcaldy in Fife. The assignment is temporary with the view of becoming permanent for the right candidate. This is a full-time post of 36.25 hours weekly. This role has a starting salary of £22620.
Key Tasks
· Respond to general enquiries from electronic, telephone and face-to-face sources.
· Support activities associated with events management.
· Undertake other duties that may be delegated by the Fife Administrator or anyone acting on their behalf and provide cover for the office as required.
· Provide clerical support over a range of activities which will include filing, photocopying, maintaining, scanning appropriate electronic & paper records, and liaising with external agencies.
· Provide a friendly welcoming professional service to all callers and visitors ensuring all external visitors and visiting staff sign the visitor books, directing visitors to the appropriate area. Distribute all incoming mail and prepare outgoing mail for collection. Voice mail is checked daily (AM/PM). Reception display screen is switched on every morning.
· Responsible for room bookings.
· Responsible for stock control and ordering of stationery
· Arrange travel for Kirkcaldy based staff who require train tickets for travel to the main campus or other local travel.
· Ensure the photocopying room is well stocked and kept clean and tidy.
· Staff sign-in sheets are updated and available on a weekly basis.
· Attendance monitoring
· Support colleagues across the Learning and Teaching division providing a range of routine clerical activities such as scanning, photocopying, e-filing and preparing documents ensuring accuracy and attention to detail.
· Ensure that reception area is kept clean and tidy, information leaflets, all noticeboards and publications are up to date,
· In the absence of the Caretaker, report any estates issues and follow up.

Personal Specification
Essential: Excellent communication skills, both written and verbal (face to face, and on the telephone).
Strong interpersonal skills and ability to interact appropriately with students, graduates, staff, and external contacts.
Sound knowledge and experience of IT including a good working knowledge of Microsoft Office Packages (including Excel, PowerPoint, Teams, and Word).
Excellent time management skills demonstrating ability to plan, prioritise and organise own workload.
Strong organisational skills and a good eye for detail.
Ability to work enthusiastically and flexibly as a member of a team responding to tight deadlines that are determined both internally and externally.
A high level of discretion in dealing with personal records and confidential information.
Ability to work effectively in a varied and busy environment.
Willing to undertake further training.

Desirable: Educated to HNC level or equivalent work experience e.g. SVQ
Experience / understanding of the Higher Education sector.
Experience in a customer-oriented environment.
