Role Purpose:
Perform a wide range of tasks to assist with running an effective office and your role within. The role will require you to be responsible for your workload alongside working with the Administration Manager and the wider administration team to prioritise the day to day duties. You should display an excellent understanding of what it will take to support a number of projects, you will demonstrate exceptional organisational and time management skills to complete all duties. The role is currently based at home with potential travel to office hubs for meetings/training and any other necessary requirement of the business.
Key Responsibilities:
· Work with organisation values of Dignity, Respect and Compassion
· Work with the Administration Manager with the resource planning
· Maintain high level of confidentiality of all records and files, including accessing and handling sensitive information, in line with data protection and document control guidance
· Build good working relationships with team members across the organisation to ensure delivery of an effective and quality service and to achieve common goals
· Scheduling meetings, taking and distributing minutes to all participants
· To be able to retrieve and store information in a document management system
· Attend and participate in daily catch up meetings with colleagues and Senior leaders
· Manage ad-hoc mailboxes and responding to enquiries on a daily basis
· Dealing with complaints and enquiries ensuring that any response is appropriate, builds credibility and this is aligned to their values
· Work flexibly to respond to organisational needs and contribute to continuous improvement
· Work at pace whilst maintaining a high level of accuracy and attention to detail
· Occasional travel may be required throughout Scotland with advance notification
· Any other duties as required to support the day to day needs of the business
· May be the need to work occasional evening and weekends to service exceptional panel requirements
Essential Criteria:
Ability to contribute to the development of administrative tasks and processes and follow established ways of working with a high degree of accuracy and consistency.
Excellence in all aspects of administration processes, especially minute taking of meetings.
Able to work as part of a team, with very good communication skills and capable of responding to tasks, projects and challenges with flexibility.
Highly organised and efficient, able to manage detailed processes using clerical and digital approaches.
Excellent communication skills with a wide range of people including survivors and external stakeholders.
Qualifications Required:
Administrative experience should include minute taking, managing administration tasks and systems and working as part of a team to complete work with to high standards of accuracy and consistency. A relevant qualification in administration or relevant subject, or a degree or experience in administration. Consideration will be given to experienced and skilled applicants who do not have formal qualifications.
