Are you an experienced PA looking for a new and challenging opportunity?
ASA Recruitment’s well-known public sector client is looking for an experienced PA to work closely with, and provide support to their Chief Financial Officer. The successful candidate will be a proactive, forward planning individual who deals with urgent matters effectively and efficiently.
Responsibilities include:
Organisation
· Manage and prioritise the CFO’s diary – co-ordinating meetings, making appropriate attendance decisions and arrangements, managing support briefings, and ensuring meeting papers are correct, including collating, issuing and filing
· Manage key information flows to the CFO, including through the mailbox, making astute judgements to allocate relevant emails to team members or other officials to take forward. Co-ordinate weekly responses to corporate requests for information from wider team and present to CFO.
· Provide the first point of contact to the CFO for all internal and external enquiries
· Co-ordinate senior management team meetings and other activities for the CFO
· Arrange meeting logistics for wider Directorate as and when required, booking conference or meetings rooms as appropriate, co-ordinating the use of the mobile video conferencing unit or Skype for Business meetings
Budget management
· Advise on and support expense claims for the CFO and Finance Business Partners and ad hoc expenses for Deputy Directors
· Analyse monthly SEAS reports for any errors or inconsistencies and take appropriate action if any arise
· Be the ePC holder for the directorate, which would include responsibility for paying for training courses, yearly professional fees and memberships and ad-hoc spending throughout the year, taking into account rules and guidelines when making purchases. Review transactions each month to ensure deadline for ePC is met
· Raise EASEbuy orders to maintain stock levels. This includes taking responsibility of the monthly stationery order, liaising with the business management unit as required over shared resources such as paper
· Purchase, issue and record use of bus, rail and taxi tickets for the CFO and Finance Business Partners. Providing an analysis of spend each month to be used in the directorate dashboard
Ad hoc support
· Provide support for the directorate, creating, maintaining and updating records and ad-hoc groups as required
· Create and maintain in eRDM on-going charts for staff to access to record leave
· Lead on the development and maintenance of the internal team site within Saltire, updating content on a weekly basis and promoting the use of this as one of our main communication tools
· Update and maintain information on the Sharepoint Site and Intranet pages, ensuring pages are correct and links on both sites are relevant and up-to-date
Requirements included:
· Previous experience as a PA
· Well-developed communication skills with the ability to deal with staff at all levels in the organisation and where necessary deal with challenging conversations
· Excellent organisation skills including the ability to work creatively to solve problems, manage competing priorities and take important decisions under own initiative
· Good analysis and use of evidence skills including the ability to interrogate SEAS reports and travel reports to produce briefing on spend to the Business Manager
· Experience of budget monitoring and reporting
· Public Sector experience is highly desirable
